How to setup your zMailCloud account on Outlook for Mac

Outlook on Mac syncs email, contacts and calendars bidirectionally to/from your zMailCloud account online.  To setup your account in Outlook on Mac, first go to Tools > Accounts.  In the Add account screen, select Exchange Account for the account type:

Enter your zMailCloud account info on the next screen (and uncheck the box for Configure automatically):

Email address: your full email address

Authentication method: Username & password

User Name: your full email address

Password: your password

Server: yourcustomaddress.zmailcloud.com (if you are not sure what your custom address is, please contact your administrator or email support [at] zmailcloud.com for assistance.

On the account details page, you should see a green dot next to your account name if authentication is successful.  You may need to restart Outlook for this change to take place:

Press the red dot in the upper left hand corner to begin using your account in Outlook.

How to install and configure your zMailCloud account in Zimbra Desktop PC/Windows

Install and Setup Instructions for Zimbra Desktop with zMailCloud.com Zimbra Mail

Download Zimbra Desktop (Windows version) at: https://www.zimbra.com/downloads/zimbra-desktop

1. Open the downloaded file.

 

2. Click ‘Next’

 

3. Accept License Agreement, Click Next

 

4. Choose a path to install the application in and click Next

 

5. Choose whether or not to create a desktop icon and click Next.

6. Leave Launch Zimbra Desktop checked. Then, click Finish

 

7. Click, add new account

 

For account type, select Zimbra
Create a description for this account in the Account Name field, for example zMailCloud account
Enter your zMailCloud email address and password


Your incoming mail server should be: yourcustomaddress.zmailcloud.com If you do not know your custom address, please ask your domain administrator, or contact the zMaiCloud help desk at support[at]zmailcloud.com


Be sure to place a check in the Use SSL box as well.
Select your preference for synchronization settings, which is how often the program will check for new mail.
Click Validate and Save

Zimbra Desktop

 

Note that the first synchronization may take up to several hours to complete depending on how much data is in the account. However, you may start using this account immediately.

How to install the zMailCloud/Zimbra Outlook Connector (email, contacts, calendar bidirectional sync)

This is a guide for installing and configuring the zMailCloud Outlook Connector. The Outlook Connector is an application that will automatically sync all of the information in your zMailCloud account with your copy of Outlook 2003 – 2013, including your email, contacts, and calendars. Lets get started!

Before you install

• Backup your Outlook items before installing the Connector for Outlook. Do this first! This saves a copy of your Outlook in case you need to revert to it. • You must use an Outlook PST file of no larger than 2GB. Microsoft does not support larger PST files, and neither do we! The larger your PST, the longer the process will take!

• Be aware of how much internet speed/bandwidth you have available for this process! We recommend high-speed/high-bandwidth upload/download internet connections with plenty of availability for larger and/or many simultaneous uploads.

• We highly recommend performing your uploads over night, over weekends, and in any event not during your business hours.

• Verify you are not using a firewall, load-balancer, packet-shaper, router or other network appliance that will interfere with the priority of your internet traffic! If you are using such a network appliance, commonly used with VOIP telephone systems to prioritize their traffic, you must configure it to prioritize traffic to/from the zMailCloud servers, or, preferably, turn its prioritization off for such data. If the Zimbra advanced web client is not functioning well, this kind of intereference is a common cause! You must fix this.

Installation

Download the zMailCloud Connector:
Click here to download the zMailCloud Connector for Outlook (32 bit version) This is the most common Outlook Connector.  Try running this connector first!

Once downloaded, double click on the installer to get started:

If Windows displays a protection warning, click on “OK”:

To bypass the Windows warning, highlight & right-click on the installer and choose “Properties”:

Under “Security”, click Unblock, then click OK:

Double-click on the installer once more.  An installer window will populate, welcoming you to the setup process.  Click Next:

Clicking next will take us to the license agreement page, which defaults to the do not accept setting:

You will have to click on I accept to move forward:

Clicking on next will install the connector. The Zimbra Outlook Connector is only compatible with Outlook versions 2003 through 2013.  If you have an incompatible version, or the connector is the wrong version (32 bit vs 64 bit) you will receive a error message:

But because we really do meet the requirements, we will get a successful installation message.  Click Close:

Next, launch Outlook.  Outlook should prompt for your account details:

Server name: yourcustomaddress.zmailcloud.com (if you are unsure what your custom server address is, please contact your Administrator or our help desk.
Use Secure Connection: checked

Email: your full email address

Password: your password
Once you click OK, your account is now configured and Outlook will start to sync with the Zimbra server. Don’t worry if you do not see your email appear immediately, it takes about five to ten minutes to pull all of your email, contacts, and calendars into Outlook. You can keep track of progress with the progress window that populates once the data transfer starts:

Once the folder synchronization is completed, you are ready to go! Outlook will automatically sync your contacts, calendars, and email with the zMailCloud web client.

Apple Mac Mail problems sending outbound messages

This article describes the settings that should be used in Apple’s Mac Mail.app when users encounter problems sending outbound messages using their zMailCloud email address & Mail.app

Symptoms of this issue include Mac Mail reporting a problem communicating with the outgoing server, or emails failing to send from Mac Mail/emails sitting in the “Outbox” in Apple Mail.

If this issue occurs, first check your outgoing server settings in Mail.app.  To do this go to Mail > Preferences:

Click Accounts > Account Information tab and select your zMailCloud account on the left side.  Under Outgoing Mail Server, make sure Use only this server is checked:

In the Outgoing Mail Server drop-down menu, select Edit SMTP Server List:

Select your zMailCloud account’s outgoing mail server from the list.  In the Server Name field, make sure your server address is set to yourcustomaddress.zmailcloud.com (replace “yourcustomaddress” with your own custom server name.  If you are unsure what your custom server address is, please contact your administrator or email support@zmailcloud.com:

Next, click the Advanced tab:

Here are the settings to use:

Port: Select port 587 and select the option to use SSL

Authentication: Password

Allow insecure authentication: unchecked

User Name: your full zMailCloud email address

Password: your password

 

Once you have made these changes, click OK, then close the preferences window & restart Mac Mail.

Your outgoing messages should send OK.

If you are still encountering issues, please delete any messages “stuck” in the Outbox in Apple Mail and restart the Mac Mail.app once more.  If you still need assistance, please contact our support team at: support@zmailcloud.com

 

How to setup your zMailCloud account as IMAP on iPhone/iPad

To setup your zMailCloud account as IMAP on your iPhone/iPad, please follow these steps:

On your iPhone or iPad, navigate to Settings

Next, click on Accounts & passwords

Select Add Account

For the account type, select Other

Select Add Mail Account

Enter your account information:

Name: your name

Email: your full zMailCloud email address

Password: your account password

Description: your full zMailCloud email address

Click Next 

In the new account window, select IMAPthen enter your Incoming Mail Server information

Host Name: Use yourcustomaddress.zmailcloud.com  If you are unsure what your custom server address is, please ask your Administrator or contact our support team at: support@zmailcloud.com

User Name: your full email address

Password: your password

Next, enter your Outgoing Mail Server information:

Host Name: Use yourcustomaddress.zmailcloud.com  If you are unsure what your custom server address is, please ask your Administrator or contact our support team at: support@zmailcloud.com

User Name: your full email address

Password: your password

Click Next

On the account summary screen, select which items to sync and click Save
