What is “Legal Compliance Archiving” (LCA)?

Primarily for public companies or those companies working for public companies subject to formal data retention policies, ZAD is an optional service available in the 01.com cloud hosting environment on a per mailbox basis, and as an optional license to companies with dedicated, or their own servers, particularly useful for legal compliance (SOX, HIPAA…) and other organizational policy fulfillment, Zimbra Archiving and Discovery (ZAD) stores mail for each mailbox on which it is enabled in an archived format that is not viewable by users without zMailCloud administrative privileges. We also have a somewhat different, third-party monitoring solution available, for FINRA and SEC compliance, currently used by a number of brokerage firms.

The archived mailboxes are then searchable, across all of the mailboxes and their data, including attachments and headers, and the results are available in an Ajax web interface that enables viewing by conversation across an entire organization. After self-sign up, for some or all mailboxes request activation by submitting a ticket at the online help desk.

We can deliver direct access to archives for customers in the cloud hosting environment.

Note that Zimbra Archiving and Discovery may be used independently by organizations looking for a cost-effective system to archive their company’s mail. Please also note that for clients using ZAD in our cloud hosting service, the resulting archives are charged for monthly on a usage basis, as opposed to quotas, which are charged for monthly on a reserved basis. Zimbra supports the ability for administrators to import .pst files in bulk for all users through the use of an XML config file that contains the file location and names, user account information and optionally start date of imported messages. This optional capability allows organizations (and users) that wish to upload existing messages in users’ mailbox (stored in .pst files) into the users’ archive mailboxes for future discovery and compliance enforcement purposes. 01.com professional services are typically required to assist with the import process.

How do I use the PST Import Wizard?

Using the PST Import Wizard for Outlook

Installing the Outlook Connector will install a new profile in Outlook. If you already have an existing .PST backup of Outlook items that you would like to directly import into your zMailCloud account or have new .PST files created from the first step of the “How to install the zMailCloud Outlook Connector”, please run the Import Wizard for Outlook found in the Download section.

1. Open the PST Import wizard

2. Click Next.

3. The hostname field should be filled in with server.zmailcloud.com

4. The Port should be set to: 993 with ‘use secure connection’ checked

5. Enter your email address for the username, and your email password. Then, click Next.

6. Click Browse to locate your .PST file.

7. If you are using a domain administrator account, you have the option to select which account you would like to import the file into. To use this option, place a check in the ‘Import into Account’ and type in the appropriate address, and leave the admin port set to 7071, and use a secure connection.

8. Select the items you wish to import. Also, if you are now using a newer email address then when the .pst was created, you can convert your meetings to the new address. This can be done by entering the old address in the Old Address field.

9. Select the additional options you wish to use for the imported .pst. We recommend that you select the ‘log messages on failure’ option in case there are any issues with the import.

10. Click next, and you will be prompted to click OK to proceed with the import, or cancel.
